Subject: Re: Summary of the mission (20-22 August) for the SPS WG
Dear Mariana,
We prepared some additional guidance for the SPS WG to move forward with strategy preparation.
Please find attached strategy document which includes guidance for the chapters 3 and 4 (with grey background).
Also, we agreed that the SPS WG will prepare the first report on strategy executionfocusing on quarter 3 (by October 15th). Basis for that is the table with initiatives-milestones and report should compare against that (plan vs actual execution). At this point we don’t provide you exact templated but we rather recommend you to think what would be the most useful outline for yourself. This report should follow the objectives/initiatives agreed in the strategy and give brief overview about the status of execution and additional brief comments if relevant. Probably simple xls-table will fit best and you can think how to best visualize.
Additionally, during our last mission we agreed that you start to visualise the claims management business process as a process diagram. We learned that you have skills (we discussed it with Maia Maghlakelidze Khomeriki)to do that, only some IT support is needed to find some proper software tools. It would be good if the first draft could be shared with us by next Wednesday (Sept 26).
We suggest to have a Skype call next Thursday (Sept 27) at 10am or 4pm in Georgian time. Then we can discuss the first version of the claims management diagram and any questions you might have related to other tasks. Please let us know if Thursday and one of these times works for you.
In addition, you may discuss internally if the new deputy minister will take the chair role in the SPS WG.
With best,
Triin

Subject: Summary of the mission (20-22 August) for the SPS WG
Dear Mariana and Sopo,
Thank you for taking good care of the mission! Hereby is the brief summary about agreements and short guidance for the first task of the SPS WG.
First, we agreed that next missionwill be during the week of October 29.
Second, we agreed that the SPS WG will finalise the SPStrategy for 2018-2021by putting minimum efforts into it. We agreed that we don’t change the strategy map (we keep that one agreed in June’18). Therefore, the tables for the strategic initiatives and indicators need some restructuring by the SPS WG as last version bases on modified strategy map (one goal was removed). During the revision, the SPS WG can also review the list of indicators and skip some process focused ones and fill gaps where target or baseline values were missing. This all should be done by putting minimum efforts at this stage. We expect this to be completed by August 31.
Third, we agreed the following timetable for the SPS Strategy for the period 2019-2022:
1. SPS WG prepares strategic initiatives focusing on IT and HR –October 15
2. SPS WG prepares the first written report about SP Strategy execution focusing on strategic initiatives only (input for strategy revision) –October 15
3. “Strategy day” for the critical review of the SP Strategy –during next mission
4. SPS WG drafts missing chapters (Strategy map, strategic initiatives and indicators; Strategy execution framework, planning and reporting, governance)
- Guidance for the SPS WG –September 30
- 1stdraft by the SPS WG –October 30
5. SPS WG prepares the 1stdraft for the SP Strategy for the period 2019-2022 –November 30
6. Final review of the SP Strategy - December mission
7. Final SP Strategy for the period 2019-2022 –December 31
Please let us know if anything looks here unclear or unrealistic and if you need further guidance!
