We’ve just received your mail.

I am sorry. When we started working  (22th of June) the information manager had already loaded the old Excel files (sent from you in previous e-mails) into the computers and collectors were working on those files as well. There were 56 questions in those forms and missed DM medications and LDL values. As the forms were very similar we couldn’t notice the difference and continued to collect data based on the old one.

It does not matter if this is essential, we will check  all our medical charts with the diagnosis of diabetes and cholesterol, as for the LDL values (it is too expensive)  we used formula from lipid profile.  

So, we can extract all those charts with the diagnosis of diabetes and total cholesterol is measured and collect data as requested. It is achievable in a short time because we have good trace ability of charts.

I think we might need more couple of days for finishing this task.

The first step is to create your two list of patients: 1. Adults aged 40 or older who visited in the last year; 2. Adults aged 18 or older with diabetes who have visited in the last year. The second step is the random selection. 

 

Here is one method that you can use to randomly select rows of data in Excel:

 

1. Create a new column

2. In the new column, for every row, use the formula “=RAND()”. This will give you a random number between 0 and 1. 

3. Now every row of data will have a random number. 

4. Sort the data by the random numbers you generated from smallest to largest. 

5. Once sorted by random number, select the first 300 patient IDs (the sample size is only 250 but we need to provide the team with some extras incase they need them). 

 

Do you know if the other two clinics also have excel-based visit registers to sample from?

At 2 p.m. I‘ll have meeting with experts involved in the project to draw up an action plan and we will talk about which institution we’ll select  from several options, most likely we will use the same system as ours and let  you know.
Of course
, we need Dylan’s  help to clarify the features for the Excel files for the random sampling.
Data collectors/experts know the details of the contract, which is established with NFMTC, as well we ‘ll discuss with them the payment related issues.
It is important to know the time table of the project in order to plan how intensively we have to work, so we need a deadline.
Thank you very much for taking into account organizational/taxes/other costs in the budget.
I think everything is clear at the moment. The main thing is to comply with deadlines and perform quality work.

Thank you for approving the TORs and budget. We will now proceed with the contract. 

 

I have asked Dylan to clarify the features for the Excel files needed for the random sampling.  As soon as Dylan sends, I will share.

May I kindly ask to find out with the other 2 health facilities their system.  Do they have a daily journal, what level of detail they record, do they use excel o we just for random records in their archives.

 

Following the training this morning, it will be important to clarify with your team the payment related issues. For WHO is important they understand the agreement is with the Centre/you.  

 

As background, we estimated 100 records per day x 10 days would be the 1000 records needed. We estimated USD7 dollars per record/15-20min but definitively this is our estimation and we leave in your hands the negotiations with the individuals of the Team.  

We also acknowledged additional expenses for IT support for example, creating the needed Excel files or inserting data etc. 

Finally, we also included extra hours to interpret the findings, for example, yesterday you provided us with important contextual information about BBP, etc. We can discuss more details when the data collection is finalised. 

 

I hope this clarifies.  Let me know if you prefer to discuss over Whatsapp or similar today or tomorrow.
