Dear Ms. Goginashvili,

Please read carefully the below information regarding financial support for your participation at our meeting.

We are pleased to inform you that the UNECE secretariat is in a position to provide you with financial support to participate in the above-mentioned meeting. In order to start your travel arrangement please reply to this message attaching a copy of your current passport and completed and signed bank info form (attached).

1.         The Regional Forum on Sustainable Development will be held on 19-20 March in Room 2, CICG, Geneva. If you have not done so, please register at https://indico.un.org/event/32089/.

2.         AIRTICKET:  UNECE secretariat will provide you with a round trip air ticket from your city of residence to Geneva, on a direct route and at the most economical rate applicable. Your official travel dates are: arriving in Geneva on 18 March and departing on 21 March 2020 at the latest.  However, if you decide to change your travel dates for personal reasons, please note that you will be asked to cover any extra cost yourself related to the issuance of your ticket on your requested dates and all expenses related to the extended stay on mission.  Your ticket reservation will be requested from our travel provider, Carlson Wagonlit Travel (CWT). You will receive an itinerary proposal and will be asked to approve it. Please carefully check the details of your travel itinerary including the correct spelling of your full name as it is in your passport as well as sufficient connection times. 3.         PER DIEM/Daily Subsistence Allowance (DSA): You will receive DSA equivalent to USD 386 per night for the nights you are spending in Geneva on your official itinerary (max. 3 nights, 18-20 March). This amount should cover your accommodation expenses in Geneva and all other related miscellaneous travel expenses, such as your meals, travel insurance, bus fares, etc. Please note that this amount may vary slightly according to the UN official exchange rate. You will receive this amount by bank transfer to your personal account (75% in advance, before the meeting and 25% of the DSA after the meeting upon submission of your boarding passes, paper copy or scanned copy, and our submission of the Expense Report in our system). You will receive the above amount on the understanding that: i) your actual travel dates will be as mentioned above (para 2); and ii) you will attend the scheduled meeting held within the said period.

4.         HOTEL: You will have to book your own accommodation but you will pay for your accommodation from your DSA. In order to profit from the UN rate please inform the hotel that you will be attending meetings organized by the UN. The list of hotels with UN preferential rates is attached as well as a Winter Offer from Novotel.

5.    UNECE shall not be responsible for any other costs apart from those indicated above. Should you require a change to your travel dates and/or itinerary, any and all resulting additional costs will not be covered by UNECE.

6.      Finally, if after the tickets are issued or upon your arrival in Geneva and for any unforeseen reason you are unable to attend any or part of the meeting, you are requested to immediately inform the UNECE secretariat by email: felirose.gutierrez@un.org and contact the CWT to cancel/change your flight (unogeurope.ch@contactcwt.com). Please also note that in the absence of a satisfactory explanation, you may be required to return all or part of the funding received.

7.      To enable UNECE to proceed with and complete in time the administrative procedures necessary to effect the above payment, please confirm acceptance of the above terms and conditions upon receipt of this letter.
