Dear Tamar,
This sounds good!
We’ll deliver then all the equipment and keep only one set for the Republican Hospital, for the handover event.
Just for you to know, if we organize the event next week, I will not be able to attend it as I will be still in self-isolation after my trip to Abkhazia (this week and next week).
However, if next week is more convenient for Madam Minister, I would not delay it and I would delegate Vasily from our office to represent WHO at the event.
On the other hand, if we do it the week after, we can make it much bigger, as by that time we plan to finalize also procurement of printers for the multiplication of materials and sanitizers for all designated hospitals. Thus, for the event
in the Republican hospital we’ll have all those items, not only the VC equipment.
But as I mentioned, we might get also the PPEs that week, meaning we’ll have to organize two events in one week and it might be too much…
I just share all the information, but we are happy to adjust to ministry’s preferences and we are ready to discuss with media team all further details.
Thank you and best regards,
Silviu

Dear Silviu
Thanks for this update. I also would like to thank the project team for provide the equipment to MoLHSA- we’ve started using it, very helpful. As for the handover event in Tbilisi- We think, it would be good
to have an event at the Ministry first attended by Madam Minister and then go to Tbilisi Republican Hospital to cover a handover event.
As for regions, please go ahead with delivering the equipment. We can have this announced during the Tbilisi event and include in our FB release.
Our media team will work with you on next steps.

Dear Tamar,
We are ready to proceed with further distribution of Video-Conferencing equipment under the USAID project.
If any decision is taken regarding the hospital in Tbilisi where we would like to organize the formal handover event, then we could first deliver quickly the equipment to other two hospitals in Tbilisi and meanwhile prepare for the event
next week, or even the week after.
Similarly, if we want another event to be organized at regional level, we could deliver quickly to other regional hospitals/labs on the list and meanwhile prepare for the regional handover event.
Please let me know about the location(s) for the event(s), so that we can move as fast as possible with the distribution to other locations.
Thank you and best regards,
Silviu

Dear Tamar,
As a follow-up to our previous correspondence regarding VC equipment – we can finally start distribution.
We planned to do this in Tbilisi this week and then move to other regions.
But I got unexpectedly the invitation from UN Resident Coordinator (Sabine Machl) to go with her to Abkhazia tomorrow. So, I will take 3 sets with me to Abkhazia and we start distribution from there.
We can also bring the two sets for the ministry on Friday and install them, if this is acceptable.
As for the rest, we discussed with the donor (USAID) and they would like to organize at least two handover events with media – one with ministry and WHO and another one with ministry and USAID.
I would suggest we do the event with ministry and WHO in one of the hospitals in Tbilisi and USAID would prefer to have their event in Lugar Centre, with the interval between them of about 3 weeks, and presumably
with participation of the US Ambassador in the second event.
Please, let us know what you think about the above suggestions.
If OK with you, then we bring the equipment to the ministry this Friday, start preparations for a handover event in a hospital in Tbilisi for next week or the week after, and for the handover event in Lugar
Centre in about a month.
Also if we go for his scenario, please let us know what would be the preferred hospital in Tbilisi for the handover event.
Please, feel also free to suggest any other scenarios. On the side of WHO we are absolutely flexible. Not so sure about USAID however, as they have to plan the US Ambassador’s participation long in advance.
Thank you and best regards,
Silviu

Thanks a lot! 2 sets would be good. One will be used by the central unit and the Emergency response center would also need one.

Dear Tamar,
Thank you for the prompt feedback.
Well noted and the distribution list is adjusted accordingly.
We just got an updated info from the supplier about the possibility to produce locally TV Mobile Stands. This is much better than fixing the TV sets on the wall, but will take an additional week.
So, we hope installation work could start the week after next – 4-8 May.
I will be in touch with Maia for all the other details.
With best regards,
Silviu

Dear Silviu
Many thanks for sharing this. I’ve made some adjustment into the attached distribution list to align it with the Governmental resolution 253 as of April 17th 2020 which defines the list of COVID treating
hospitals. I am forwarding this correspondence to Maya Nikoleishvili for her follow up on formal authorization, and communication with clinics. We will inform clinics about the anticipated installation so that they provide PPEs to workers as needed.
I would suggest to first start installation works in Tbilisi, Gori and Kutaisi that would not require overnight stay. For travel authorization we will coordinate with relevant authorities. May I kindly ask what
is the calendar for the installation work?
With kind regards
Tamar

Dear Tamar,
Under the same initiative funded by USAID, we are currently buying video-conferencing equipment, to be installed in the main designated hospitals and laboratories and to be used for distance training of personnel
and any other video-communication, in case of need.
You can see attached the distribution list. We have some flexibility for the distribution of equipment to be brought to WHO country office – some of it might go to Abkhazia, and some – to the ministry, NCDC or
any other important hospital or lab facility.
Please, let us know if any stringent need.
We also have some requests from the supplier and I would like to coordinate them with the ministry and NCDC (see below in yellow background).
First, they ask for an official authorization, in order to deliver the equipment to the mentioned institutions by car. We can give them an official letter from WHO. Would that be enough? If not, could you please
help in issuing the appropriate authorization?
And second, they ask for the protection of the installation team. We don’t have any PPEs in the office for the moment. Would it be possible that the benefiting institutions provide them PPEs locally, along with
a short instruction on infection prevention during installation?
Thank you and looking forward to your answer,
With best regards,
Silviu

Dear Vasily.
Thank you for the locations update.
I've prepared detailed MS Excel datasheet (WHO VC locations list v1.0.xlsx) with the addresses, map locations and quantities of the VC sets to be delivered and installed - please confirm if everything
is correct.
As per VC system installation - VC system (TV together with the laptop) should be installed at the TV Mobile Stand (see attached file
TV Stand.pdf) - this is the most user friendly and comfortable solution. System usage will be very simple - users will be able to re-locate TV stand to any desired location to conduct a Video Conference upon their needs. Unfortunately, local suppliers
do not provide such hardware. If you would like - we may deliver TV stand from our foreign partner - but it will take time to deliver. Otherwise, the most reliable method to fix TV is to hang on TV on the wall permanently. In this case, laptop should be mounted
oh some table or surface near to TV - there's some cables connecting TV and laptop one to another, and we are limited with the length of these cables.
Due to the lockdown, obviously, we will face some logistics and safety challenges. I would like to ask you some questions:
1. Installation team travel and hardware delivery to the designated location?
As you surely know, according to the latest ban/restrictions of the Georgian Government, we are unable to travel by a car without appropriate license from officials. We will need to get some
authorization from officials to proceed with the travel/transportation across the Georgia. Or will WHO provide car with the driver and authorization?
2. Installation team accommodation at remote sites. Most probably, Hotels/Guest Houses are on lockdown. So, this issue should be resolved as well. Any suggestions?
3. Installation team safety during installation at sites. What measures should be taken to prevent my installation team members from infection during sites installation works? Safety gear? What
is the "Must Have" safety equipment/procedures? Will WHO supply us with the appropriate stuff?
Please, let me know your vision on that matter.
Sincerely,
Oleg.
